What we collect
Information you give us. When you request a demo, start a trial, use our calculators or download a report, we ask for business contact details: your name, work email address, phone number, company name and the approximate size of your rental portfolio. We never ask for passwords to other services, payment-card numbers through forms, or government identification.
Website usage. We use Vercel Analytics for aggregate page statistics and the Google tag to measure whether our advertising leads to enquiries. These tools use cookies or similar technologies; the advertising measurement applies only to visits that arrive from an ad.
Email and website activity. If you arrive here from one of our emails, the link carries a random identifier that lets us connect your visit to the message we sent you. We use it to record which pages you viewed, how long you stayed and whether you used a call-to-action, so that any follow-up is relevant rather than generic. The identifier itself contains no personal data, is kept in your browser for up to 90 days, and is only meaningful inside our own CRM. Visitors who do not arrive from our emails are never identified. We do record which pages such a visit covered and how long it lasted, under a random session identifier that is erased the moment you close the tab — it is not linked to any person, and it does not carry from one visit to the next. We use it only to see whether people find what they came for. To stop it at any time, clear your browser storage — or write to us and we will delete the activity records associated with you.
How we use it
To respond to your enquiry, provide the product and its trial, send the material you requested, improve the website, and — if you have asked for it — keep you informed about the product. Every marketing email we send contains a working unsubscribe link, and unsubscribing is honoured immediately.
Who processes it
We use a small number of service providers to run HostsPilot: Supabase (database hosting), Vercel (website hosting and analytics), Resend (email delivery) and Google (advertising measurement). They process data on our instructions and do not receive the right to use it for their own purposes. We do not sell or rent personal information to anyone.
How long we keep it
Contact records are kept while we have an active relationship or a legitimate business reason to retain them. If you ask us to delete your data, we remove your records and any activity history associated with them.
Your rights (including CCPA)
California residents: under the California Consumer Privacy Act you have the right to know what personal information we collect, to request its deletion, and to opt out of the sale or sharing of personal information. We do not sell or share personal information as defined by the CCPA, so there is nothing to opt out of — but the request channel exists all the same: email contact@hostspilot.com with the subject “Privacy request” and we will act on it within 30 days. Visitors from the EU/EEA have equivalent rights of access, rectification and erasure under the GDPR, which we honour through the same channel.
